RentalMind vs Google Workspace for Organizing Your Team's Knowledge

By Michael Dinwiddie, founder of RentalMind Published

The short answer

Google Workspace is where a lot of rental businesses start: SOPs and property guides in Docs, lists in Sheets, and everything filed in Drive folders. It's still super valuable, and a good folder system helps. The biggest challenge is keeping it organized. It's only as organized as the person who is in it every day, and even a well-organized setup starts falling apart as soon as other people start adding files. RentalMind is built especially for managing rental businesses. Every property, SOP, and policy gets tracked the same way, so Macaw AI Assistant can answer your team's questions with the source attached. Connect your AI through MCP to move your Google content over, and anything you still want to edit in Google can stay there, linked from RentalMind.

Google Workspace is best for

Writing and co-editing documents, email and calendars, and storing files like property photos and very large files.

RentalMind is best for

Rental managers who want professional, easy-to-use software that gets the information out of their head, so their team can search for answers and complete tasks.

What is the difference between Google Workspace and RentalMind?

Google Workspace is still super valuable. Gmail and Calendar run your day, and most rental businesses build their first system out of three of its tools:

  • Docs for SOPs, property guides, and checklists.
  • Sheets for numbers, lists, and trackers. (Spreadsheets get their own page: RentalMind vs Spreadsheets.)
  • Drive for the folder system that holds it all, plus photos and files.

The biggest challenge is keeping it organized. Every doc is formatted however its writer chose, every folder makes sense to whoever built it, and the structure drifts as more people add files. Searching gets you a list of documents, not an answer.

RentalMind is built especially for rental managers. Step-by-step onboarding sets up a structured page for every property, your SOPs live next to the tasks that use them, and your policies are written once and applied wherever they belong. Because everything gets tracked the same way, Macaw AI Assistant can search all of it and answer your team’s questions.

Michael Dinwiddie, RentalMind’s founder, on why Drive setups break down:

“Even a well-organized admin who sets that up initially to be organized, as soon as someone else starts messing with the Docs and the Drives, that hierarchy and framework pretty much instantly starts disappearing.”

- Michael Dinwiddie

When is Google Workspace the better choice?

  • Writing and co-editing documents with your team in real time.
  • Email, calendars, and meetings. RentalMind doesn’t do any of those.
  • A folder system for your files, like large photo libraries and contracts, that you link to from RentalMind.

When is RentalMind the better choice?

  • Other people are in your folders now. Once a team is adding files, RentalMind keeps every property, SOP, and policy in the same structure, no matter who adds it.
  • Your team can’t find things. Macaw answers their questions from your documentation, with the source attached, instead of a list of docs to dig through.
  • Write it once, apply it everywhere. Write a policy or FAQ and apply it to one property, a whole market, or your whole business, and it gets added to any new property you bring on in the future.
  • The work needs to be tracked. Tasks with due dates, recurring maintenance, launch checklists, and projects, assigned to the right person.

How do you move from Google Workspace to RentalMind?

  1. Connect your AI (fastest). Connect Claude or ChatGPT to your Google Drive and to RentalMind through MCP, and ask it to move your Docs, Sheets, and Drive content in.
  2. Or use the Magic Importer. Drop your Drive folders in, and Docs, Word, PDFs, and spreadsheets come in together, sorted into properties, contacts, projects, and tasks for you to review before anything is saved.
  3. Link the files you still edit in Google, and invite your whole team.

Can you use Google Workspace and RentalMind together?

Yes. Keep email, calendars, and the documents you’re still editing in Google. Move the knowledge and the work into RentalMind. Link any Google file from the property or SOP it belongs to, and your team finds it from there.

Our recommendation: if you’re managing a few properties on your own, a tidy Drive is fine. When other people start adding files and asking you where things are, that’s the signal to move.

Common questions

Can I import my Google Docs and Drive folders into RentalMind?

Yes, two ways. The fastest is to connect Claude or ChatGPT to your Google Drive and to RentalMind through MCP, and have it move your content over. Or drop a Drive folder, Google Docs, Word files, PDFs, or spreadsheets into the Magic Importer. It sorts the contents into properties, contacts, projects, and tasks, flags what's missing, and lets you review everything before it's saved.

Can I edit Google Docs and Sheets inside RentalMind?

No. If there's a file you want to keep editing in Google, keep it there and link to it from RentalMind. When you need to edit it, follow the link, make your changes, and the link stays up to date.

Should I keep property photos in Google Drive?

You can. RentalMind holds photos and fairly large files, but it isn't a file storage tool the way Drive is. Keep very large files and big photo libraries in Drive, and link them from the property page.

Doesn't Gemini make Google Workspace enough?

Honestly, it doesn't work as cleanly as most people expect for this. Gemini can answer from your files on Business Standard plans and up, but it's only as good as the files underneath it, and Google notes it may answer from only part of a large set. RentalMind gives your information the same structure for every property first, so the answers come back consistent.

Do I still need Google Workspace if I use RentalMind?

Probably, for email, calendars, and documents you're still editing. Honestly, you don't need to keep much else there after you move.

Why not just organize Google Drive really well?

You can, and some people do. The catch is keeping it that way. As soon as other people start adding files, the folder structure starts to drift, and your team has to know where everything lives. RentalMind is built especially for rental managers, so the structure is already there.
