RentalMind vs Notion for rental managers

By Michael Dinwiddie, founder of RentalMind Published

The short answer

Notion is a flexible, general-purpose workspace where you build your own system out of pages, databases, and templates. RentalMind is built especially for rental managers, with property pages, SOPs, policies, and team tasks already structured, and an AI assistant that answers your team's questions from your own documentation. If your team already runs smoothly in Notion, keep it. If the system you built only works while you're the one maintaining it, RentalMind is way easier, and it isn't going to depend on you.

Notion is best for

Teams that want one flexible tool for everything and have someone who is dedicated to building and maintaining the system.

RentalMind is best for

Rental managers who want their team to have easy-to-use software they can go to for answers and to complete their tasks.

What is the difference between Notion and RentalMind?

Notion is a general-purpose workspace. You get pages, databases, and templates, and you shape them into a wiki, a task board, a CRM, or all three. Its AI can write, search, and run agents across your workspace.

RentalMind is built especially for rental managers. Step-by-step onboarding walks you through setup, and every property gets a structured page. Policies and FAQs are written once and applied to one property, a market, or the whole business. SOPs link to the tasks that use them, and your team gets an assistant, Macaw, that answers their questions from your own documentation.

When is Notion the better choice?

  • Your team uses and loves Notion. If it’s working and nobody is waiting on you for answers, that’s great. Keep it.
  • You want more integrations from day one. Notion connects to a much larger library of other tools today.
  • You want full control over the design. Notion gives you more flexibility to build your own views and layouts.
  • You’d rather pay per user than per property. Notion charges per member; RentalMind is priced by property, with unlimited team members.
  • Someone on your team is dedicated to building the system and will keep the workspace clean as you grow.

When is RentalMind the better choice?

  • You want software your team can learn on their own. RentalMind is extremely easy to learn. A new team member can open it and figure it out in minutes, no training session needed.
  • You want something rental-specific. Property pages, policies, SOPs, and task templates come built for rental workflows, with shortcuts for the work rental managers do every day.
  • You want your whole team in it. Team members are unlimited, so cleaners, assistants, and maintenance people all get their answers and tasks in one place.
  • You want fast AI search that knows the industry. Macaw is built specifically for rental management and trained on industry knowledge, so your team gets quick answers like “what’s the gate code process at the lake house?” with the source attached. It’s included in the price.
  • Policies apply across properties. Write a pet policy once, apply it to a market, and every new property in that market gets it.

Michael Dinwiddie built Hospitality HQ, a Notion system other rental managers ran their businesses on, before building RentalMind. Here’s what he saw:

“A lot of people I worked with using Notion were having trouble with their team 1) struggling to learn how to do basic stuff in notion and 2) accidentally breaking/deleting stuff. RentalMind solves that. So it was helpful to have but not helping them have time freedom.”

- Michael Dinwiddie

How do you move from Notion to RentalMind?

  1. Connect both to your AI (fastest). Connect Claude or ChatGPT to Notion and to RentalMind through their MCP connections, and ask it to transfer your data.
  2. Use the Magic Importer. Export your Notion workspace and import it with the Magic Importer.

Can you use Notion and RentalMind together?

Technically yes, but it would be a waste of money. They do the same core job: knowledge and operations management for your business.

Our recommendation: if your team is already using Notion and it’s working well for them, stay with it. If you’re not using Notion, or it isn’t working well for you, and you’re a rental manager, use a tool designed specifically for your industry.

Common questions

Is RentalMind just a Notion template?

No. RentalMind is its own software, built especially for rental managers. It solves the same problem Notion templates try to solve, getting the business out of your head, but the structure is built in, the AI answers from your documentation, and your team can't accidentally break the system by deleting a page.

Can I move my Notion workspace into RentalMind?

Yes, two ways. The fastest is to connect Claude or ChatGPT to both Notion and RentalMind through their MCP connections and ask it to transfer your data. Or export your Notion workspace and bring it in with the Magic Importer.

Notion has AI agents now. Why would a rental manager need RentalMind?

Notion's AI is general-purpose, only as good as the system you built underneath it, and the full version costs extra. RentalMind gives you the rental-specific structure first, and Macaw AI Assistant is trained on rental industry knowledge and included in the price.

Can I cancel Notion if I use RentalMind?

Yes, unless you have specific workflows you've customized and built out in Notion that don't exist in RentalMind. In that case you might need, or want, to keep Notion for those.

Which is easier for cleaners and assistants to learn?

RentalMind, 100%. Most rental managers don't put cleaners in Notion, because its permissions are built around pages and teamspaces, so keeping a cleaner to just their properties means setting up and maintaining access page by page, and it's easy to show them far more than you meant to. RentalMind has role-based and property-level permissions, so you can segment exactly what each person sees.

Can Claude or ChatGPT work with both Notion and RentalMind?

Yes. Both offer MCP connections, so you can connect Claude or ChatGPT to both and ask it to move information from Notion into RentalMind for you.

From a RentalMind customer

Our VA was taking about 1.5-2 hours per property to go through and make sure we have all the information migrated from Notion after the import. We connected Claude and not only did it fill in empty fields in the properties tab, but it crawled our Airbnb listings, Notion, Hostbuddy, and Hospitable to make sure there weren't any discrepancies among the sources… I am finally feeling like we have one "source of truth" for everyone on our team.
